Privacy policy.

This policy explains what information Gentyx collects, why we collect it, and what you can do about it. We keep it short and in plain English. If anything is unclear, get in touch and we will explain.

Who we are

Gentyx is a bookkeeping and financial operations firm working with small and mid-sized businesses. In this policy, "Gentyx," "we," "us," and "our" mean Gentyx. "You" means anyone who visits our website, fills out a form, or uses our services.

What we collect

Information you give us. When you contact us, fill in the onboarding form, request a quote, or book a call, we collect what you send: name, role, email, phone, business name, industry, revenue range, accounting software, and anything else you choose to share.

Information we collect automatically. When you visit the site, we collect basic technical data like IP address, browser type, pages viewed, and referring URL. We use this to keep the site working and understand how people use it.

Information from third parties. If you engage us, we receive financial and operational data from the tools you connect (for example QuickBooks, Xero, banks, payroll, payment processors). We only access what we need to do the work.

How we use it

  • Reply to you and schedule calls.
  • Deliver the bookkeeping, close, and reporting services you hire us for.
  • Send invoices and process payments.
  • Improve the website and our service.
  • Meet legal, tax, and audit obligations.

We do not sell your data. We do not use it to train third-party AI models.

Legal bases (EU/UK visitors)

We rely on your consent, the performance of a contract with you, our legitimate interest in running and improving the business, and compliance with legal obligations, depending on the situation.

Who we share it with

We share information only with vendors who help us run the business, and only with what they need:

  • Our hosting and database provider, who stores form submissions and operational data.
  • Calendly, for scheduling calls.
  • Our payment processor, for invoicing and collections.
  • The accounting and banking tools you ask us to use.
  • Professional advisors (lawyers, auditors) when required.
  • Authorities when required by law.

If we ever sell or transfer the business, your information may move with it. We will tell you if that happens.

How long we keep it

We keep client records for as long as we work together and for the period required by tax, accounting, and legal rules afterward (typically seven years). Marketing contacts are kept until you ask us to delete them.

Security

We use access controls, encryption in transit, vetted vendors, and least-privilege access. No system is perfect, but we take this seriously. If something goes wrong, we will tell affected clients without delay.

Your rights

Depending on where you live, you can ask us to:

  • Show you what we hold about you.
  • Correct anything that is wrong.
  • Delete your data, within legal limits.
  • Send your data to another provider.
  • Stop using your data for a specific purpose.

International transfers

Our vendors may process data outside your country, including in the United States and the European Union. When that happens, we rely on standard contractual clauses or equivalent safeguards.

Cookies

We use a small number of cookies and similar technologies to keep the site working and to understand basic traffic patterns. You can block cookies in your browser, but parts of the site may not work as expected.

Children

Our services are for businesses. The site is not directed at children, and we do not knowingly collect data from anyone under 16.

Changes

We may update this policy as the business changes. When we do, we will update the effective date at the top. Material changes will be flagged on the site or sent to active clients.
